This privacy notice has been written to inform parents and carers how Happy Feet Preschool collect, use and store your personal information. We have a legal responsibility to you and your personal data and act in line with the data protection regulation which became a law in 2018. When collecting data, we determine the purpose in which the data is collected and the way it’s used and will only collect and use the data in ways which are compliant with the data protection regulation.

What information Happy Feet Preschool are required to collect:

Personal information for all children and their parents e.g. Name, DOB, Contact details

• Funding entitlement declaration provided by Surrey CC

• Early Years Pupil Premium (EYPP) provided by Surrey CC

• Relevant medical information

• Special Education Needs and Disabilities information

• Race, Ethnicity and religion including languages spoken at home and dietary requirements

• Permissions for the children

• Registers of attendance

• Details of any external support agencies involved

The above information is used to:

• Safeguard children

• Support the child / children’s learning and progress

• Ensure the correct quality of care is being given

• Monitor attendance

• Comply with the law regarding data sharing

The information is stored:

• On the premises of Happy Feet Preschool in a locked filing cabinet

• In the child / children’s learning journals and all about me booklets

• Parent contact details are stored in the Happy Feet Preschool phone

• All information is retained for at least 6 years from the date gathered and when disposed the information gathered on paper will be shredded.

Access to your data:

The new data protection regulations allow you as an individual to have access to any information stored at the preschool regarding yourself or your child / children. Happy Feet Preschool require you to submit a Subject Access Request (SAR) in writing via letter or email.

Whilst parents have already completed the permissions request in the enrolment pack on some occasions, we may require additional consent before carrying out activities and celebrations at Happy Feet Preschool, consent forms will be supplied via the form of a letter permission slip before any activity takes place.

Every 6 months we will send parents a form to ensure the data held by Happy Feet Preschool is up to date. We kindly ask parents / carers to inform us of any changes to their or their child’s personal details immediately.
